General Information:
A combined meeting of IDSA, SHEA, HIVMA, PIDS and SIDP. IDWeek is a recognized forum for peer-reviewed presentations of new research and clinical analysis in infectious disease and HIV. The meeting, occurring Oct. 16 – 19 at the Los Angeles Convention Center (1201 S Figueroa St) in Los Angeles, CA, is geared toward healthcare professionals in infectious diseases and healthcare epidemiology and prevention, providing presenters and exhibitors with an excellent opportunity to promote the latest research to the profession. Attendees include researchers, clinicians, quality and patient safety practitioners, epidemiologists and public health officials, including those who specialize in HIV and pediatrics.
Embargo Policy:
News releases, media alerts and news materials released in conjunction with IDWeek must be embargoed until the start of the meeting on Oct. 16 at 12:01 a.m. PT with the exception of research findings presented at IDWeek-sponsored press conferences. Those findings are embargoed until the start of IDWeek or the specific press conference, whichever is later.
Exhibitor news releases, media alerts and news materials that contain only abstract titles, author names and affiliated institutions (“curtain raisers”) are permitted in the lead up to IDWeek and may be distributed after abstract titles are released on the IDWeek site on Sept. 4.
Newsroom Services to Presenters And Exhibitors:
IDWeek provides an on-site newsroom where presenters and exhibitors can share media materials with reporters. IDWeek prohibits outside organization press conferences and/or media events, but designates an area for the display of presenter and exhibitor news materials within the newsroom. Representatives from the presenter or exhibitor organization must deliver press materials to the newsroom during operational hours; newsroom staff will not print or place materials on any organization’s behalf. Materials should be accompanied with contact information so newsroom staff can connect reporters with the appropriate contact should they have questions or require an interview.
Representatives are encouraged to check with newsroom staff periodically to evaluate the supply of their materials.
Leftover materials must be retrieved by 10 a.m. Saturday, Oct. 19, or they will be discarded.
Media Lists:
IDWeek does not release lists of registered media for any meeting. Attendees typically include top-tier consumer media and U.S. and international trade media.
Media Eligibility:
Press badges are available only to working press who can show evidence that their attendance will result in coverage of IDWeek in print, broadcast or online media, such as previous coverage of ID topics or an assignment letter from the publication’s editor. All media must provide written agreement to honor IDWeek’s embargo policy.
IDWeek does not issue press badges to: a publication’s advertising, marketing, public relations or sales representatives; publishers, editors or reporters from manufacturers’ house organs or promotional publications; public relations staff of exhibitors or educational institutions; writers creating analyses or reports sold as a commodity to customers; or other individuals who are not actually reporting on the meeting. Exhibitors may not register as press.
The newsroom is reserved as a work area for journalists. Exhibitors are not allowed beyond the reception area unless individuals have been invited for an interview and are met by a registered reporter. PLEASE NOTE: Exhibitors and PR representatives are prohibited from congregating, disseminating material or engaging in unsolicited media relations activities outside the newsroom or press conference room.
When Media Want to Talk With You:
Reporters, photographers and video crews covering IDWeek are issued clearly marked press badges by newsroom staff. Photographers and video crews on the exhibit floor must obtain exhibitors’ permission before photographing or videotaping exhibits in their booths. Exhibitors need not hesitate to check badges, ask questions about a publication or broadcast program, or request a card or credentials of reporters who are requesting permission to interview, photograph or videotape.
